The answering service
that books.
A traditional answering service takes a message and promises someone will call back. Sara is a medical answering service that picks up on the first ring, has a real conversation, books the appointment in her own scheduling during the call and texts the deposit link. After hours, on weekends, and whenever the front desk is on the other line.
Sara Hi, I'd like to schedule a dental cleaning.
Hi! Happy to help. I have tomorrow at 4:00 pm or Thursday at 11:30 am. Which works better for you?
Thursday at 11:30 works.
Perfect, you're booked for Thursday at 11:30 am. I'll text you the deposit link to lock it in. Is this the best number?

Live transcript
See? That is how Sara answers.
You asked for a person: at your clinic, the team would get the alert right away.
Picks up on the first ring
No hold music, no voicemail, no "someone will call you back."
Books during the call
Offers real openings and puts the appointment in her own scheduling.
Texts the deposit link
Ends the call and sends the deposit link by text.
How Sara does it
A medical office answering service that finishes the call.
This is a real call, exactly as Sara answers it. She listens, understands what the patient needs, offers real openings and books the appointment, without anyone at the front desk picking up and without a message waiting for a callback.
And when she hangs up, nothing is lost: the call lives on in your dashboard, next to SMS and Instagram, with a summary of what was said and the appointment already in her own scheduling.
Sara Hi, I was calling to ask about a facial.
Hi! Yes, we do deep-cleansing facials. It takes about an hour. Would you like me to find you a time?
Yes, this week if possible.
I have Wednesday at 3:00 pm or Friday at 10:00 am. Does either work?
Friday at 10 is perfect.
You're booked for Friday at 10:00 am. I'll text you the reminder and the deposit link. See you Friday!
From a missed call to a booked, paid appointment.
The phone rings
The patient dials your usual number. If the front desk can't pick up, it's after hours, or you forward the line, the call goes to Sara. No new number, nothing for the patient to learn.
Sara talks and books
She answers in a natural voice, in English or Spanish, handles treatment questions, offers real openings and books the appointment during the same call.
It all lands in your dashboard
The appointment drops into her own scheduling, the deposit link goes out by text, and the call summary sits alongside the rest of the conversations.
After hours and overflow
After hours and overflow, answered on the first ring.
A medical office answering service used to mean an operator taking a message for the morning. Sara answers the phone the same way at 2 am as at 2 pm: on the first ring, in parallel, with no hold queue, and she books instead of writing down a callback.
- Answers 24/7, weekends and holidays included
- Takes the overflow when the front desk is on the other line
- Several calls at once, zero hold time
Sara Hi, are you still open? I wanted to ask about laser hair removal.
The office is closed right now, but I can help you book. The first visit is a 30-minute consult. I have Tuesday at 9:00 am or Wednesday at 5:30 pm.
Wednesday at 5:30, please.
Done, you're booked for Wednesday at 5:30 pm. I'll text you the confirmation and the deposit link right now.
Not a phone tree
Automated phone answering that doesn't sound automated.
No menus, no script read back at the caller. Sara understands what the patient says in their own words, answers questions about treatments, hours and pricing, and moves toward the booking with judgment, in your practice's tone.
- Understands natural language, not keypad commands
- Answers treatment, hours and pricing questions
- Speaks in your practice's tone and terms
Sara Do you treat dark spots on the face?
Yes, we start with a dermatology consult to assess the spots and recommend a treatment. Would you like me to book one?
How much is the consult?
The consult is $150, and it's credited toward the treatment if you go ahead. Want me to find you a time?
One thread
The call and the text, one conversation.
A traditional answering service hands you a message log. Sara hands you a conversation: the call, the text with the deposit link and the reply all live in one thread per patient, so nobody starts from zero.
- The call summary lands in your dashboard
- Follows up by text where the call left off
- One history per patient, phone and chat together
Sara Active now Answering service vs Sara
A traditional answering service takes a message. Sara takes the appointment.
Most answering services for medical offices are built to take a message. Sara is built to finish the call: the patient hangs up with an appointment, and you get the summary, not a callback list.
| Aspect | Answering service | Sara |
|---|---|---|
| Who picks up | An operator reading a script | Sara, in a natural voice, on the first ring |
| What the caller gets | "Someone will call you back" | An appointment, booked during the call |
| After hours and weekends | On-call operator takes a message for the morning | Same answer at 2 am as at 2 pm |
| Two calls at once | Hold queue | Both answered, in parallel |
| Billing | By the minute or by the message | Flat monthly plan, no per-minute billing |
Let no call to your practice go to voicemail.
How it looks in your dashboard
Every call leaves a record.
In the Chats inbox, phone calls appear next to SMS and Instagram. At a glance you see who called, what they needed and how it ended, without listening to the whole recording.
Sara answered an incoming call. Logged with the time and duration.
A text summary of what was said, to read in seconds.
The appointment was scheduled during the call, in her own scheduling.
The patient confirmed and the deposit was collected through the link she texted.
Frequently asked questions
Is this a HIPAA compliant medical answering service?
Sara doesn't store or read medical records or clinical information. She works on the conversation and the calendar: who called, what they asked for and when they're booked. We don't advertise HIPAA compliance; if your practice needs a BAA or has specific requirements, we go through them with you in the demo before anything goes live.
Do I keep my phone number?
Yes. Sara answers on your current number. During onboarding we connect the line so the calls the front desk can't take go to Sara: after hours, on overflow, or all of them, whichever you prefer. Patients never see a new number.
What happens after hours and on weekends?
Sara answers exactly the same way. She books in her own scheduling on real availability, texts the deposit link and leaves the summary in your dashboard, so Monday starts with appointments instead of a list of messages to return.
Can she take several calls at once?
Yes. Every call is answered in parallel, on the first ring. There is no hold queue and no busy tone, even when three patients call at the same time.
Where does she book the appointment?
In her own scheduling, which lives inside Sara's platform, only on real openings, and she blocks the slot the moment it's confirmed. If you come from another system, we import your schedule and services so you start with everything already loaded.
Does she answer in English and Spanish?
Yes. Sara answers in English and in Spanish, in your practice's tone and terms. Bilingual practices set it up during onboarding so Spanish-speaking patients get the same service as everyone else.
What if the caller needs a human?
She alerts your team right away with the full context: who called, what they need and what was already said, so a person picks it up without starting from zero. Sara doesn't give medical advice or triage symptoms; anything clinical goes to your team.
